Payments for articles and editorial services are based on a credit system. You top up your credit at the checkout. When you order an article or editorial service, the relevant amount is blocked in the cash register and transferred to the publisher’s account upon successful completion of the transaction. If the transaction is not completed, the credit block is cancelled.

You can see the cash register balance at the top right of the administration page. It shows the amount in the cash register. Only available credit is displayed in the top menu. Blocked credit is displayed in the cash register detail.

How to top up your credit

Click on checkout in the top menu (the current balance amount is displayed) and select “Top up credit” in the submenu.

First, enter the billing information you want on the proforma invoice and regular invoice (tax document) on the credit top-up page. Based on the information you enter, the system recognises which country you are from and whether you are registered as a VAT payer. The VAT number is checked in VIES to determine whether you are an active VAT payer.

On the top-up page, enter the amount of credit you want to top up with the cashier. Once the amount is submitted, payment details (a proforma invoice) will be automatically generated and displayed below the form in the table and the proforma invoice will also be emailed to you. A spreadsheet will be displayed if you have previously topped up your credit. In that table you will find a link to download the proforma invoice in PDF. For non-credited proforma invoices you have two buttons. A “Pay online” button to go to the payment gateway. And a “Cancel proforma” button to notify you that the proforma invoice will not be paid.

How to pay a proforma invoice

You can pay a proforma invoice online via a payment gateway or by bank transfer (it takes up to 3 days for the payment to be credited).

If you use the "Pay Online" button, you will be redirected to the Pays payment gateway where you will follow further instructions from the payment gateway.

If you pay by bank transfer, payments are matched using the variable symbol on the proforma invoice (proforma number). The system checks the bank accounts every 5 minutes.

Where can I find the invoice?

After the proforma invoice has been paid, a PDF invoice is automatically sent to the email address entered in the advertiser account. You can also find links to downloadable invoices in the proforma list table on the “Top up credit” page.
